Operations & Administration Manager
Full Time- Location: Neuchâtel, Switzerland (On-site mainly)
- Employment Type: Full-time, permanent position

About the Role: We are looking for an experienced and versatile Operations & Administration Manager to strengthen our operational backbone and ensure efficient daily business execution. This key role combines administration, finance/HR coordination, logistics and vendor management, and contract support. It requires a reliable professional with initiative, strong organizational skills, and the ability to contribute to the company's efficiency and long-term growth.
Key Responsibilities:
- Manage administrative processes including office management and internal organization.
- Support HR administration (employment contracts, onboarding, employee records).
- Oversee financial administration: client invoicing, expense tracking, and coordination with the fiduciary.
- Maintain accurate and up-to-date records, documents, and filing systems.
- Support in coordinating logistics and distribution of medicinal products (liaising with warehouse, clients, pharmacies, wholesalers, couriers).
- Follow up on logistics documentation (invoices, delivery notes, packing lists).
- Conduct research to identify external vendors.
- Coordinate vendor selection and contracting in alignment with management.
- Review and provide input on contracts and agreements with partners and stakeholders.
- Participate in contract follow-up and support negotiations together with management.
- Ensure compliance of documentation and internal processes with applicable Swiss requirements.
Requirements:
- Completed commercial training (CFC, Brevet fédéral, ES/HEG) or degree in administration, business, law, finance, or related field.
- Minimum 8 - 10 years of experience in operations, administration, or finance/legal coordination, ideally within pharma, biotech, or healthcare.
- Proficient in MS Office and comfortable using digital and enterprise tools to support operations and administration.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Experience in administrative and financial coordination (liaising with fiduciary, invoicing, HR basics).
- Knowledge of logistics processes and experience with vendor management.
- Familiarity with contracts, compliance, and Swiss business/legal frameworks.
- Discreet and professional in handling confidential information.
- Strong communication and interpersonal skills, with a collaborative, service-oriented attitude.
- Proactive, structured, and reliable, with strong problem-solving skills.
A plus:
- Prior experience in a pharmaceutical company with knowledge of medicinal product distribution, GDP, or pharmaceutical logistics.
- Other Languages: e.g. German, Italian
Business Developer - Clinical Trials Services (medicinal products)

About the Role: We are seeking a motivated and entrepreneurial Business Developer to support the growth of our clinical trial services portfolio. In this role, you will be responsible for identifying new business opportunities, securing strategic contracts, and driving commercial visibility. You will also play a key role in implementing CRM and digital marketing initiatives to ensure long-term commercial success.
Key Responsibilities:
- Identify, pursue, and convert business opportunities in clinical trial services, both in Switzerland and internationally.
- Promote and sell services to biotech, pharma, and healthcare organizations.
- Implement and manage a CRM system to track leads, client interactions, and business intelligence activities.
- Maintain and regularly update the client database.
- Design and implement digital sales & marketing campaigns, ensuring compliant medical communication.
- Prepare sales forecasts, strategic sales plans, and performance reporting.
- Contribute to the development of marketing materials, sales decks, and client proposals.
- Provide regular updates on KPIs, client feedback, and competitor/market developments.
- Represent the company at conferences and networking events when needed, enhancing visibility and client engagement.
Requirements:
- Bachelor’s or Master’s degree in Business, Life Sciences, Management, Finance, Economics, or a related field.
- 3 -10 years of experience in business development or sales, ideally within clinical research, CRO, pharma, biotech, or life sciences.
- Ability to quickly understand complex services and communicate value to clients.
- Proven experience with sales forecasting, CRM tools, and digital sales/marketing campaigns.
- Excellent interpersonal, negotiation, and communication skills.
- Self-starter with a commercial mindset, able to work independently and collaboratively.
- Strong organizational skills with attention to detail and follow-through.
A plus:
- Existing network of clients in the Swiss or international clinical trials sector (biotech or pharmaceutical companies).
- Track record of sales in the CRO market.
- Other languages: e.g. German.
